Lease Administration: Take lead ownership role in ensuring all data in the Sequentra Lease Administration system is complete and accurate. Assist the Senior Real Estate Specialist and Portfolio Managers with maintaining and updating all required fields and contract records. These lease administration duties will include but not be limited to the following:

  • Review open query logs for lease administration reports and conduct necessary follow-up to ensure timely updates to the system

  • Secure missing real estate documents for the global portfolio as needed

  • Assist Portfolio Managers with updates to the system, reporting, and periodic divisional adhoc requests

  • Track Request for Services (RFS) forms through execution and file

  • Support tracking of Request for Capital Expenditure (RCE) documents and file

  • Assist with other special projects as needed such as annual rent reviews, expiring lease reviews, etc. as they relate to maintaining an accurate lease administration database Other Responsibilities: Under the supervision of the Senior Director of Real Estate and in support of the Portfolio Managers and Real Estate Specialist, perform the following tasks in support of Abbott’s Real Estate Organization.

  • Manage and track lease Audit process; complete necessary follow-up

  • Process landlord Estoppel and SNDA requests

  • Conduct US Rent Payment process (in conjunction with Senior Real Estate Specialist)

  • Work with Abbott Legal to process Estoppel and SNDA requests

  • Review and process 3rd party invoices in financial systems

  • Manage and track Security Deposit returns

  • Process Certificate of Insurance Requests

  • Serve as subject matter expert on Sequentra and Optimizer real estate tools

  • Assist portfolio managers on in-depth portfolio analyses, as necessary.

  • Support and assist with impacts to the portfolio through business acquisitions, divestitures, and other Corporate initiatives.The incumbent will oversee responsibilities listed above and ensure that they adhere to Abbott Corporate Environmental, Legal, and Risk Management standards as they relate to real estate.Minimum Education/ExperienceBachelor’s degree in related field - Real Estate, Finance, Legal, or Business Administration. Experience in lease administration a plus.This is an entry level position that requires exceptional organizational and follow-up skills. Must be self-motivated, detail oriented, able to meet deadlines, problem solve, manage multiple tasks, and work in a team environment. The ability to probe, challenge and communicate effectively is required to bridge the gap between the business problem and the real estate solution. Strong computer skills required.
