The Administrative Support for the Abbott Diabetes Care Global Public Affairs department is a forward-thinking, proactive and energetic individual who wants to be part of a dynamic, creative and fun environment. The ADC Public Affairs team manages all external communications globally for the diabetes care division, including working with the media, key high-profile executives and taking part in and planning meetings and events.
Responsibilities will include all administrative functions in support of the Director, Global Public Affairs and the department overall. This will include:
Answering phones, re-directing as necessary
Managing calendar for Director
Scheduling both domestic and global travel
Managing and processing travel and other expenses in a timely manner
Meeting and event planning
Co-ordinating and maintaining departmental files, as assigned, in compliance with corporate and government regulations
Managing department invoicing and budget tracking
Managing charitable donations per procedures
Managing uploading of information to ADC intranet site on behalf of the ADC Public Affairs team
Managing the ADC Public Affairs inbox and corresponding communications
Ordering business cards and stationary
Uses and understands Microsoft Office Suite and other business specific software, including the Corporate Travel Web site
Coordinates new employee office setups and onboarding
May train/coordinate work for new administrative assistants
Actively participates in the ADC administrative support group, including regular meetings
Regularly interacts with high-profile executives including at the business and corporate level
Frequently handles confidential or business sensitive information
Proactively identifies and resolves scheduling conflicts
Qualifications and relevant experience:
High School diploma or equivalent. Some college preferred. 5+ years previous admin experience or equivalent. Operates with general instruction and some supervision. Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.
