Position Overview:

Coordinate and expedite the flow of work and materials within or between departments to facilitate clinical studies according to project timelines. Duties include planning for required materials, establishing and coordinating shipment schedules; conferring with department supervisors to determine progress of work and completion dates; and compiling reports on progress of work, inventory levels, costs, and delays or other issues.


  • Key processes that are managed are planning and coordinating of clinical supplies, labeling and distribution of Investigational Products in compliance with GCP, GMP and regulatory (global and local) guidelines, comparator sourcing, monitoring of the quality, site storage and training, and stock monitoring.

  • Work with the clinical study team (PM & CRA) to identify, source and procure clinical supplies for use in clinical studies.

  • Management of clinical shipments, liaison with shipping department and coordination with Regulatory and Quality. Responsible for shipping procedures and documentation, resolution of issues, and communication to stakeholders.

  • Identification and management of clinical suppliers, ensuring compliance with APOC quality requirements and management and escalation of emerging issues.

  • Maintain inventory of clinical supplies, and analyze, plan and forecast requirements based on clinical portfolio planning. Responsible for acquiring Capital Equipment on behalf of Clinical Affairs.

  • Assist in project planning activities to provide logistics and planning expertise in the decision- making process.

  • Responsible for identifying improvements in the logistic processes, such as calculating adequate levels of stock, defining optimal transportation modes, etc.

  • Responsible for creating, reviewing and updating clinical procedures and SOPs related to shipping and logistics per international regulations and US FDA custom clearance standard.

  • Manage cross-departmental and cross-divisional facilities and equipment negotiations and procurement for clinical studies.

Required Education and Experience:

  • Bachelor degree is required, in Clinical, R&D, Business or Supply Chain Operations is preferred

  • Minimum of 6 years of experience in logistics and schedule planning

  • Minimum of 3 years of experience with planning/work order systems

  • Minimum of 3 years of experience working in a medical device or IVD manufacturing, clinical or R&D environment preferred.
