Abbott Facilities Coordinator in Petaling Jaya, Malaysia
The Facilities Coordinator provides support to GFO Facilities Manager on local information needed to align Global Facility Operation objectives to support local affiliates in Malaysia. Assist GFO Country Manager to ensure key performance indicators, service levels, and contract obligations are achieved across multiple commercial offices in Malaysia. Current sites include Shah Alam, Johor, Penang, Melaka, Kota Kinabalu and a new site in 2021 includes Subang Empire Tower.
JOB DUTIES/ RESPONSIBILITIES/ ACCOUNTABILITIES
Support GFO Facilities Manager on Preventive Maintenance, UMEX, KPI reporting & savings plan
Maintain necessary documents and make sure up to date on the above plans
Assist GFO Facilities Manager administratively on country GFO work orders
Create assigns work orders to subcontractors and vendors. Communicate to Facilities Manager on work orders to ensure work orders issued are closed in time with customer satisfaction.
Coordinates with FM supplier(s) to achieve and maintain required service levels and KPI for assigned country
Submission of service reports to Facilities Manager.
Escalate urgent issues identified through to the Facilities Manager
Raise purchase orders for Facilities Manager and the next level for approval as required and ensure that financial processes are always adhered to.
Deliver administrative works like car parking, copier machine, supplier/vendors billing, etc.
Maintain car parking name list making sure these are updated in case of any changes
Daily visual check on the functionality on all copier machines
Match PO details with an invoice, ensure all are aligned before sent to the Facilities Manager for approval
Receive and sending on daily in/out internal and external mail from/to colleagues
Report to Facilities Manager monthly, break into a category, on the numbers on in/out mails
Keep up all checklist that used by Facilities Manager for EHS checks and walk around
Relief for receptionist
Skill, Education, Experience:
Experience in Operations, Engineering, Program Management, Facilities Management
Interacts well with diverse groups across divisions, maintains strong working relationships with internal and external collaborators
Possesses interpersonal skills to negotiate and reconcile differences on any Facilities requests, to align with GFO direction to achieve plenary goals set by Country Facilities Manager
Diploma or equivalent required with a minimum of 3 years’ relevant experience
Independent, proactive, resourceful, and problem solver
